Previewing the Graph


This will allow you to choose a pupil/student and using the data you have entered in the data table, display a preview of your graph. This can help you to decide whether you wish to modify the design of your graph. You should make sure that meaningful results exist for the chosen pupil/student.

  1. Click the Preview button at any stage of the Graph wizard to display the Student Selector chooser.



  1. Select the required group of pupil/students from the Student Selector.

The pupil/students in that group will then be displayed in the lower panel of the selector.

  1. Select the pupil/student whose graph you wish to preview, click the Apply button and the preview graph is displayed in the final wizard page.

  2. Click the Finish button to insert the graph into the Individual Report.
        1. Resizing the Graph


Once in place in the Individual Report Word document, the graph’s size can be adjusted according to your requirements (e.g. you may wish the graph to fill most of the page, with only a small amount of explanatory text).

  1. Select the graph by clicking in the chart area, which is the blank area between the chart and the plotted data.

A selection rectangle surrounds the graph.

  1. Place the cursor over a sizing handle until it changes to a double-headed arrow and then drag the handle to resize the graph. If necessary, resize with the other sizing handles.
        1. Page Orientation


Depending on how you wish to display your graph, you might want to change the page orientation. From within the Word Individual Report document, select File | Page Setup and on the Margins page, select the required Orientation icon and click the OK button to apply your choice.


        1. Editing the Graph


The Edit Graph option enables you to edit those features of the graph that you selected as you progressed through the Graph wizard, and this is the editing method recommended for most users.

  1. Select the graph by clicking in the chart area, which is the blank area between the chart and the plotted data.

A selection rectangle with eight square sizing handles should now surround the graph.

  1. Right-click and select Edit Graph from the pop-up menu to display the Graph Wizard again. You can then make your required changes as described in the previous sections.
        1. Advanced Editing


Advanced users can access the Word editing features, by double-clicking in the graph and then right-clicking in the required area of the graph and selecting from the pop-up menu.

This editing route could be used, for example, to adjust the text font sizes so they are better displayed.

NOTE: If you use the Word editing feature to change the chart type from a Column or Line graph to any other type of chart, (e.g. to a pie chart), and subsequently edit the graph data, (e.g. add a new column), when you attempt to regenerate the graph the Individual Report will not function correctly.

Therefore, you must ensure that all editing is complete before using Word to change the graph type.


        1. Example of a Graph


In the following example of a graph you can see that all the default text has been deleted and that the graph largely constitutes a report in itself. To accommodate this, the report page orientation has been changed to landscape and the graph has been resized.
