Marking a Marksheet as Complete

Once you have completed a marksheet and are satisfied that the results are correct, you should save the marksheet as described in the previous section.

If you are then sure that no further edits are required, select the Data Entry for this Marksheet is complete check box on the marksheet, then save again.

This will mark the marksheet as complete and notify the marksheet creator that you have finished. The marksheet can then be deleted by the marksheet creator at an appropriate time and will no longer be available for editing.

    1. Editing Existing Results in Marksheets

There will be occasions when you wish to amend a previously recorded result; for example, when after appeal an awarded C grade is changed to a B. You will therefore need to change the stored grade to a B.

There are two methods for editing a historical result. If you are editing only one or two results, edit the result via the Result History dialog, as described in the next section. If however, you wish to edit several grades, it is easier to edit the results directly in the marksheet.

NOTE: If you are editing results associated with a result set, any previously recorded result is overwritten and you must therefore be sure of any changes you wish to make (please see Viewing Column Properties on page 13).

To edit results in a marksheet:

  1. Select the required marksheet (please see Selecting Marksheets on page 8).

  2. To edit existing results, you must change the Result Date to the date on which the result was attained. For example, if a result of 90 was awarded on 01/02/11, when editing the result, you must enter the result date of 01/02/11 in the Result Date field.

  3. Move to the required cell or cells and overtype the results you wish to edit.

  4. Click the Save button.

Save button

Any existing results that have the same result date as the result date that you have specified are overwritten.
      1. Editing the Result History

This method can be used to edit results for one or two pupil/students.

To edit a result, you must be the Owner of the result, i.e. the Supervisor of the group included in the marksheet, or have appropriate permissions to edit all results (i.e. be assigned the Assessment Co-ordinator or Assessment Operator role).

NOTE: Any changes made in the Result History dialog are automatically saved. If you edit a historical result in error, you will need to change it back manually.

To display the Result History dialog, right-click the required cell and select View/Edit Result History from the pop-up menu.

The only fields that can be edited are the columns entitled Result Date, Result and Notes. The other columns are read-only.

The Owner column indicates the Supervisor of the group for whom the marksheet was created.

The Operator column indicates the person on whose machine the results were entered.

NOTE: You cannot edit a result that is associated with a locked result set. If you find that you are unable to edit a result, please contact your Assessment Co-ordinator.
        1. Editing the Result Date

  1. To edit the date a result was awarded, click the Result Date field to display a drop-down arrow.

  2. Click the drop-down arrow to display the Calendar from which the new date can be selected. Use the left arrow to move to previous months if required.

  3. Click the required date to select it (please see Using the Calendar on page 408). The Entry Date cell is updated to show today’s date.
        1. Editing the Result

  1. To edit a result, double-click the required Result cell, and then enter the new result.

  2. Press the Tab key to move off the Result cell to make sure that the newly entered result is valid. The cell is empty if an invalid result has been entered.

The Entry Date cell is updated to show today’s date.
        1. Editing Notes

Whilst editing the result history, you can also edit any associated note.

NOTE: If the result is associated with a result set, there is only one result and therefore, one note. For results not associated with a result set, there is one note available for each result.

  1. Right-click the required cell and select View/Edit Result History from the pop-up menu to display the View/Edit Result History dialog.

  2. Click the Notes button in the Notes column adjacent to the result note you wish to edit.

Notes button

The Edit Notes dialog displays any existing text.

  1. Edit the text as required, and then click the Update button to save the changes.
      1. Deleting an Existing Result

You will only be able to delete a result that you have entered yourself, unless you have suitable access rights (e.g. Assessment Co-ordinator).

It is not possible to delete a result that is associated with a result set that has been locked. If you find that you are unable to edit a result, please contact your Assessment Co-ordinator.

  1. Right-click the required cell and select View/Edit Result History from the pop‑up menu to display the Result History dialog.

  2. Click the row containing the result you wish to delete.

  3. Click the Delete Item button to delete the selected result. A message confirmation dialog is displayed. Click the Yes button if you wish to proceed.
