The Venice Glass Week is an international festival dedicated to celebrating, supporting and promoting the art of glass-making - the artistic and economic activity for which Venice and Murano have been renowned around the world for over 1000 years. The next edition of the festival is scheduled to take place from 9th – 16th September 2018.*
The Venice Glass Week is conceived and promoted by an organising committee consisting of the Fondazione Musei Civici di Venezia, LE STANZE DEL VETRO – Fondazione Giorgio Cini, Istituto Veneto di Scienze, Lettere ed Arti and Consorzio Promovetro Murano, together with the Town Council of Venice.
The first edition of the festival took place in September 2017, featuring 150 events including exhibitions, installations, conferences, screenings, guided tours, workshops, concerts, educational activities, themed evenings, open furnaces and more, at over 100 locations around Venice and Murano. Participating venues included museums, glass furnaces, institutions, galleries, universities, private palaces, artist studios and many others. The festival received a broad spectrum of positive media coverage, and welcomed over 75,000 visitors from Venice and internationally.
The 2018 edition of the festival will build on this success, and is set to be even more ambitious, exciting and impactful. The organising committee welcomes applications from any organisation, company or individual wishing to propose an event relating to artistic glass.
Please note, the organising committee is also keen to hear from any organisation, company or individual who would like to offer a space to host an exhibition, installation or other event during the festival, ideally free of charge. If you have a space to offer, please do not complete this application form, but contact firstname.lastname@example.org directly.
*The organizing committee reserves the right to alter the dates of the festival if deemed necessary. Should the dates be changed, applicants will be informed by 6th April 2018.
B. CONDITIONS OF PARTICIPATION IN THE VENICE GLASS WEEK
1. APPLICATION AND SELECTION PROCESS
1.1 Application Deadline: Completed Application Forms, together with supporting images, must be sent to email@example.com by Tuesday 3rd April 2018 at the latest. Applications received after this deadline will only be accepted in exceptional circumstances, and at the Curatorial Committee’s discretion.
1.2 Curatorial Committee: All applications will be evaluated and selected by a Curatorial Committee, consisting of experts in the glass sector at an international level. The decision of the Committee will be communicated to each applicant via email, at the earliest two weeks after the closing date for applications.
1.3 Announcement of participation in The Venice Glass Week: The official list of participants will be announced by the festival communications office during a Press Conference in June 2018 (exact date to be confirmed). Before this date, participants must not announce their involvement in the festival via any communication channel.
2. INFORMATION ABOUT EVENTS
2.1 Event Costs: There is no fee for participating in The Venice Glass Week 2018. However, participants are entirely responsible for all costs relating to the planning, organisation and realisation of their individual event/s (eg transportation and installation of artworks, insurance, accommodation, staffing etc).
2.2 Exhibitions, Installations and Displays: Any venue that is usually open to the public (ie gallery, museum, institution or shop) must propose a specific initiative, event or activity for the festival (eg exhibition, installation or special display), rather than proposing to open its doors as normal.
2.3 Exhibition Openings / Receptions: Exhibition organisers are encouraged to arrange opening parties / receptions during the festival. With a view to ensuring that these events are as well coordinated and well attended as possible, there will be specific dates allocated for openings taking place in different areas of Venice and Murano. Dates will be confirmed in due course. Exhibition organisers must adhere to their given date/s when planning their opening events.
2.4 Exhibition Admission Fees: Most exhibitions in the festival programme will be accessible free of charge. Where admission fees apply, the exhibition organiser must be prepared to waive these fees for festival sponsors / members of the festival’s organisational and communication teams / accredited journalists, all of whom will be provided with an official festival pass.
2.5 Authorisations from local authorities: Participants wishing to organize events in public spaces must submit their request for authorization to the festival coordinator by 3rd April. All requests will be forwarded to the Town Council for review and approval.
2.6 Event Venues: In general, it is the responsibility of the participant to find a suitable venue for their event. In certain cases, the festival organisation office may be able to offer assistance in sourcing a potential venue, though this is not guaranteed. Should a venue be identified and introduced to a participant, it will be the participant’s sole responsibility to liaise with the venue and arrange all logistical, practical and financial matters directly, independently of the festival organisers.
3. SUBMISSION OF MATERIALS FOR THE VENICE GLASS WEEK WEBSITE & COMMUNICATIONS CHANNELS
3.1 Event Information & Images: Upon confirmation of participation in The Venice Glass Week, participants will be sent an ‘Event Information Form’, which must be completed and returned to firstname.lastname@example.org, along with four high resolution images and captions (cleared for use in communications materials, and free from all copyright restrictions). This material will be used on the festival website and other communications channels. In addition to practical information, applicants will be required to provide a short descriptive text (minimum 600 characters, maximum 800 characters, spaces included) about the event, in Italian and in English. It is the sole responsibility of the applicant to provide the text in both languages.
3.2 Deadline for submission of materials: All Event Information Forms must be fully completed and submitted, along with supporting images, to email@example.com by Monday 28th May 2018. Any participants who do not submit completed forms and images by this deadline may be excluded from the festival. Any event information and images submitted after this date may not be included on the festival website and communications materials.
4. FESTIVAL PRESS, MARKETING & COMMUNICATIONS
4.1 Press Releases: The festival’s marketing and communications office, run by CASADOROFUNGHER Comunicazione, is responsible for promoting the festival and its events programme as a whole. Due to the large number of participants involved, the office cannot publicise all events individually, either via Press or social media channels. A complete list of events will be communicated to the Press, and individual events may be covered at journalists’ discretion.
4.2 Press Conferences: Two Press Conferences will be held in advance of the festival (dates and locations to be communicated in due course). Participants are warmly welcomed to attend the Conferences, and bring along Press Releases relating to their individual event/s for distribution to journalists in attendance. All Press Releases must include The Venice Glass Week logo, according to the guidelines provided.
4.3 Website & Map: All events will have a dedicated web page, in Italian and English, on The Venice Glass Week website. Events will also be featured on the festival’s printed map, 25,000 copies of which will be distributed at locations around Venice and Murano. While every effort will be made by the festival’s organisational office to ensure the accuracy of information included in these materials, it will be the responsibility of each participant to double-check the materials, within a given period, and communicate any necessary changes to the festival coordinator by a given deadline.
5. PROMOTION OF INDIVIDUAL EVENTS BY PARTICIPANTS
5.1 Use of The Venice Glass Week logo: Upon successful admission to participate in The Venice Glass Week, participants will be sent the official festival logo, along with strict guidelines for use. This logo must be used, in accordance with the guidelines, in all communications materials relating to individual events, including (but not limited to) Press Releases, advertisements, posters, leaflets and signage. The missing or incorrect use of the logo on communications materials may exclude the event from the festival’s general programme and communications materials.
5.2 Marketing Kit: In advance of the festival, each participant will be allocated with a marketing kit, including signage that must be clearly displayed at the event venue. It will be the responsibility of each participant to collect their own marketing kit from a given collection point, and to ensure that the signage is clearly displayed at their venue/s.
5.3 Publicity for individual events: Following the inaugural Press Conference for The Venice Glass Week, participants will be strongly encouraged to promote their individual events via their own marketing and communications channels. Participants can prepare, distribute and publicize promotional materials regarding their individual events, realized and produced at their own expense (including any necessary authorisations for the display of posters around the city).
5.4 Sponsors of individual events: Any sponsor that has supported the realization of an individual event may be credited in promotional materials produced by the participant. No sponsors of individual events may be presented in independent public relations actions as sponsors of The Venice Glass Week.
