If an attendee is staying at one of the downtown host properties, it's best to park at the hotel and walk to Rally Central, located on Fremont Street between 7th and 10th Street.

 


    • From U.S. 95 South:

 

Take U.S. 95 North to Las Vegas Blvd. North exit and turn left to Fremont Street. Turn left on Fremont Street to Rally Central.

 


    • From U.S. 95 North:

    • Booths do not include electrical outlets or lights. Las Vegas BikeFest is not responsible for damaged equipment due to power fluctuation, low voltage or outage. You must provide your own extension cords.

 

    • UL approved generators are permitted.

 

    • The official Las Vegas BikeFest electrical contractor, Full Circle Events, must fulfill all electrical requirements.

 

    • All orders for electrical will be received and processed by Las Vegas BikeFest

    • NOTE: Halogen light bulbs that are exposed are not permitted inside the rally area and all extension cords must be three-prong and grounded. Halogen bulbs must be self-shielded and not exceed 75watts to be permitted.

    • To receive advance rate orders must be made before September 9, 2016.

    • Full Circle Events is the official contractor, but Las Vegas BikeFest will receive and process the orders.

    • A 10% service charge will be retained from all refunds for cancellations made before September 9, 2016. There will be no refunds for cancellations received after September 9th, including on-site at the event.

    • Tables, chairs will be delivered to the vendor's booth after they check-in Furnishings Desk located in the Event Office when they arrive. FCE staff will deliver the order per the schedule below.

      • Staff will a log of all check-in vendors names and booth number

FCE will staff the storage area during vendor move-in hours. If a vendor wants to hand-carry their rental items to their booth they can check-in the FCE staff and sign the furniture out.

 

 

Onsite Ordering Procedures



    • Electrical, Furniture and tent orders placed onsite will need to be ordered in the Event Office based on availability.

    • Staff will process the onsite rental form by charging cc and cash (no check). They will sign rental sheet and make a copy to be given to Full Circle Events.

    • Full Circle will come into the office throughout the day to collect new forms

    • Full Circle will only complete an order that has been signed off by LVBF staff per the delivery schedule above. All items will be delivered after all advance orders are delivered.

 

 

FORKLIFT:



    • If the exhibitor requires the assistance of a forklift to un-load or to move your trailer, they will be required to pay a forklift fee of $50. They can arrange for the use of the forklift in advance or on-site at the Full Circle table inside the Event Office. Use of the forklift based on availability.

After a name is called - they will have 2 minutes to get to the stage to claim their prize - then another name will be drawn. This will continue until we have a winner.

 

To be eligible: Must put filled out raffle ticket in the raffle drum located at the info booth (just inside the entrance). Attendees have until 5:45pm to fill out their ballets. MUST be present to win.



 

Winner will come to show office and fill out a winner stat sheet.

 

The winner will receive a BikeFest wallet with BikeFest bills in different increments ($1- 40 $5 - 20, $10- 20, $20 – 33) - no change will be given.



 

The vendor will attach a copy of the receipt and bring the BikeFest Buck$ to the event office to be exchanged for cash .

How People Enter to Win

Must be registered to participate in the raffle and you must be present to win.

Ultimate Pass: 3 per day per bike

People will receive their raffle tickets onsite at registration; they will then enter them in a raffle drum next to the bikes on display. If the person wins the bike (and takes it or turns it down) they are eligible to win again.

*** If someone is not registered at the rally and wants an entry instruct them to go to the event office. Once in the event office they will be given a raffle entry to fill out.

Onsite Display (During the Day)

The four bikes will be displayed on a large riser at the bus stop on Fremont and 8th Street. The bikes will be delivered on Thursday, September 29 between 12:00pm and 2:00pm. We will put the bikes in order of their day (Thursday, Friday, Saturday, and then Sunday). Next to the bikes will be a raffle drum. The registrants will place their entries into the drum. We will have staff near the drum.

 

Have signage that gets people excited about the motorcycle giveaways, how to win if they are not registered.  



 

 

Bike Giveaway (Movement to the Giveaway Location)

On Thursday, Friday and Saturday at 7:00pm and then Sunday at 1:00pm the bike that is being given away that day, Frank and his team move the bike and the raffle drum to the riser next to the stage where the bike is being given away. See locations listed above.

 

Giving Away the Actual Bike

The Emcee will get on the stage and thank Las Vegas BikeFest and the Bike Sponsor. (Script will be provided separately.)

 

Thursday, Friday and Saturday: The Emcee will pull 4 names from the drum. The Emcee will call out the name, city and state of each name pulled. Each person will come on stage, staff checks their IDs and the person moves to stand under a staff member holding a balloon. After a drum roll, each staff member will pop their balloon at the same time. The balloon that has confetti in it designates the winner. Any of the registrants called on stage that do not win the bike are still eligible to win again. They also receive $50 cash as a consolation prize. (Add 1 min time and say city and state if name is not unique)



 

Sunday: The Emcee pulls a name from the raffle drum and calls a name city and state. If the winner is present, the winner will have 1 minute to get to the stage to claim their prize. The winner must show ID before they actually “win” the bike.

 

After the Winner is Determined

Winner will leave the stage with staff, staff will ask the person if they want the bike. Give them the dealership instructions

 

Want the Bike:



Staff will collect all winner’s information on the stat sheet and take their picture with the bike.

 

Does NOT Want the Bike:



The staff explains that there is not a cash buy-out, the person agrees to not taking the bike and their name goes back in the drum..

 

If we have to repeat a bike from the day before – Staff will do the balloon presentation twice. Day of bike first, not wanted bike from the day before second



 

 

Post Bike Giveaway

The bike and the drum will be taken back to the day display area. Staff will then create a sign in the Event Office that says “Congratulations to XXXX” and place printed picture of winner on a sign and the picture will be placed in front of the bike in the main display area. FN LI City State

  • If the person wins and can get to the dealership, encourage the person to go to the dealerships work out a time they can go pick up the bike 

  • If the person wins the bike and can not get to the dealership, we will give the winners the contact of the dealership and the dealership will work with the attendee on shipping information for each bike if out of state or international

  • Dealership really wants us to step out of this process and allow them to handle all bike give aways

The dealerships will come to move out their bikes at 5:00pm at the close of LVBF.

Giveaways - Raffle

  • Exhibitors can donate a merchandise certificate for use in the Prize Drawings. LVBF will announce the donation at whichever activity the certificate is given away.

 

  • LVBF will be giving prize certificates away at activities such as the Bikini Contest, Miss Las Vegas BikeFest®, Tattoo Contest, Biker Games, Biker Bingo and from the Rally Central stage.

 

  • Merchandise certificates can be for specific merchandise or a specific dollar amount; however we ask that each certificate have a minimum $50 value to the attendee.

 

  • Complete the Prize/Giveaway form in the Vendor Kit and return it by August 24th in order to be recognized in the Event Program.

Once the winner has been texted they will have 2 hours to claim their prize from the event office, if they do not claim their prize we will redraw a name.

 

Katie will inform the office staff of the names of the winners and the time they need to collect their prize by.

Phantom Bikes will be giving away a "Ghost Classic" Gas Powered Motorized Bike

The bike will be displayed by the info booth on Fremont with signage directing people to enter to win at the Phantom Bikes Booth.

Insurance - Vendors

 

Vendor must provide to ConvExx a Certificate of Insurance with proof of comprehensive general liability insurance which consists of $1,000,000 combined single limit bodily injury and broad form property damage, including broad form contractual liability, and name Las Vegas BikeFest, ConvExx, 899 Fremont, LLC and 900 Fremont, LLC as additional insured on such policy. Vendor agrees that their insurance coverage will be of a Best A rating or better, and be primary and non-contributory to any other insurance coverage, and provides a Waiver of Subrogation in favor of ConvExx.



 

The official Las Vegas BikeFest insurance provider is Rainprotection.net and the cost for insurance policy is $89. The application under the Vendor tab on www.lasvegasbikefest.com.

Procedures

 


    • All contestants must be registered. If not registered, have them complete new registration form. Collect $25 for the Party Pass. Give them a Party Pass wristband and a red NEW REG t-shirt card so they can pick up their package at the Golden Nugget or the Media Center.

    • Complete the Activity Statistic Sheet (must be completed in full) and place back in envelope and return to Event Management Office

    • Keep winner’s name, address and social security number on the stub and place back in envelope and return to Event Management Office

    • Return all materials, registration forms and money, and the Activity Envelope to the Event Management Office.

HOTEL SECURE PARKING

 

 


    • Golden Nugget – Secure bike parking is available for $27 for up to 3 days, per motorcycle.

 

    • Parking at the Golden Gate ( Outside) is $40 for the weekend.



    • Parking at the D (Covered) for $40.00 for the weekend.

 

TRAILER PARKING - HOTEL AND OFF SITE

 


    • Plaza Hotel - One Main St. (800) 634-6575. Trailer parking is available for $ 20.00 a day, all trailers must be able to fit in two car spaces. Attendees should check with their hotels in advance.

 

    • Morton's Truck Plaza Stop - 1000 East Cheyenne Ave. (702) 649-2001. $10 per night.

 

    • The Wild Wild West - 3330 West Tropicana Ave. (702) 736-2298. First 48 hours free then $10 per night.

 

    • Palace Station Hotel - 2411 W. Sahara Ave. (702) 387-2411. Free parking for hotel guest only.

 

RALLY CENTRAL PARKING

 


    • Bike Parking Free Bike Parking is available in the North Lot. Enter off Ogden Ave between 9th and 10th streets.

      • If North Lot fills up, Free bike parking is available on North 10th Street

 

    • Vendor Vehicle Parking

      • Available at Rally Central at Downtowner public parking lot on North 8th and at lot at 208 10th (Northwest corner of 10th & Ogden).

      • First come first served.

      • Must have Vendor parking pass - one pass per vendor company

      • AII Builders will receive Vendor Parking Pass at their check-in

 

    •  Attendee Vehicle Parking

      • There is very little vehicle parking in Rally Central. Recommend parking at hotel or parking garage and taking shuttle.

 

    • Staff Parking

      • Staff parking available on South 8th. Enter off of Carson. Must have staff parking pass.

      • Wednesday and Thursday, staff must park in public parking lot on North 8th, due to vendor check-in on South 8th.
